08 hours of accrual of PTO biweekly, 6 paid holidays off Primary Job Function:
Coordinate and manage travel for trainers, coaches, and other BDR team members, and have all itineraries completed, approved, and delivered to travelers at least 8 to 10 weeks ahead of travel date.
Daily Duties:
Project Management:
Coordinate travel (flights, hotels, ground transport, airport transport, etc.
) as needed according to company procedure, completing all necessary paperwork and forms.
Send out travel options in a timely manner and track the status of travel options.
Accurately prepare complete itineraries and travel packets for travelers according to company procedure.
Complete travel packets in a timely and accurate manner while maintaining company policies on travel.
Research travel to find the best available travel options for pricing, scheduling, and availability.
Daily and weekly travel reports as required.
Review and approve travel-related charges on company credit cards.
Complete appropriate forms and forward to accounting.
Prepare accurate Airfare distributor worksheets for accounting.
Coordinate with BDR team members across multiple departments Prepare travel options with accurate pricing and complete choices for travelers to review prior to booking travel.
Track airline flights when trainers are traveling and communicate with travelers regarding any travel changes or special issues.
Draft and maintain travel procedures as directed.
Maintain travel files and records in accordance with travel department guidelines.
Keeping current on the latest changes and trends in travel, including international travel, customers' requirements, airline rules, health regulations regarding travel, etc.
Other tasks that may be assigned from other managers or operations managers.
Watch Day-of-Travel Status to ensure company travelers are on time.
Monitor any changes to flights by using company travel tracking.
Alert the travel department manager of any changes or disruptions to the traveler's itinerary.
